We collect information you provide directly, information generated as you use the Service, and limited information from external integrations you connect.

Information you provide

  • Account and business details (name, email, phone, company, trade, service ZIPs).
  • Payment information processed by Stripe (we do not store full card numbers).
  • Customer job details you or your reps enter (name, address, phone, service notes).
  • Messages, forms, and support requests you send us.

Information generated by the Service

  • Inbound and outbound call metadata, transcripts, and recordings.
  • SMS content and delivery status.
  • Lead routing decisions, rep performance metrics, and ledger entries.
  • Device, browser, IP, and usage logs for security and diagnostics.

Information from integrations

  • Data synced from Loren AI CRM / GoHighLevel sub-accounts you connect.
  • Geocoding and map interactions via Google Maps.

3. Cookies & Analytics

We use strictly necessary cookies for authentication and language/theme preferences, and limited analytics cookies to measure Service performance. You can control cookies through your browser. Disabling required cookies may prevent you from signing in.

4. Data Security

We use industry-standard safeguards including TLS in transit, encryption at rest, role-based access control, row-level security in our database, and audit logging. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

5. SMS & Voice Communications

When you or your customers opt in to SMS from the Service, message frequency varies based on job activity. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help. We do not rent, lease, or disclose SMS opt-in data or phone numbers to external parties for marketing purposes. Call recordings are captured for quality, training, and dispute resolution and are handled under this policy.

6. How We Use Information

  • Provide, operate, and improve the Service (AI call answering, lead routing, dispatch, billing, analytics).
  • Send transactional emails and SMS you or your customers have opted into.
  • Detect fraud, abuse, and security incidents.
  • Comply with legal obligations and enforce our Terms.

7. Disclosure to Service Providers

We disclose information only to service providers acting on our behalf and only as needed to run the Service:

  • Stripe — payments and subscription billing.
  • Twilio — voice calls and SMS delivery.
  • Loren AI CRM (GoHighLevel) — CRM sync for conversations, opportunities, and calendars.
  • Google Maps Platform — geocoding, maps, and place data.
  • Mailgun — transactional email delivery.
  • Supabase / Lovable Cloud — hosting, database, storage, and auth.

We may also disclose information to comply with law, respond to lawful requests, or protect our rights, users, or the public.

8. Your Rights

Depending on your jurisdiction (including GDPR and CCPA), you may have the right to access, correct, delete, or port your personal information, and to object to or restrict certain processing. To exercise these rights, email lorenaiteam@gmail.com. We do not transfer personal information for payment.

9. Data Retention

  • Account and billing records: retained for at least 7 years to meet tax and legal obligations.
  • Call recordings and transcripts: retained for 12 months by default, then deleted or anonymized.
  • Support communications: retained for up to 24 months.
  • Suppressed email addresses: retained indefinitely to honor unsubscribes.

10. Children’s Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

11. International Users

The Service is operated from the United States. If you access it from outside the U.S., you consent to the transfer and processing of your information in the U.S.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted here with a new “Last Updated” date. Continued use of the Service after changes take effect constitutes acceptance.
